    JOB DESCRIPTION // 

    Rastaclat is seeking an experienced Sales Operations Coordinator to work alongside the Sales Operations Manager and provide customer service to internal and external sales representatives and retail accounts.  This position will assist with daily management of open orders and work closely with an external 3PL partner to ensure orders ship out on time.  This position will also help to monitor production delivery dates and communicate updates to sales representatives. The Sales Operations Coordinator will work closely with the accounting team to help clear up past due invoices and assist with making sure credit cards on file are accurate and up to date for all accounts.

     

    This role requires daily written and oral communication between all departments in the Company, Domestic and International sales partners, and the Sales team.  A positive attitude is essential.

      

    RESPONSIBILITIES //

    Data Entry, Reporting & Sales Support

    • Execute customer support and needs for the Domestic B2B sales channel including majors and EDI accounts.
    • Process accurate data entry - order entry, RMA’s, and credit memo requests.
    • Maintain and manage daily order file for B2B.
    • Track and resolve daily open pick-tickets for B2B and B2C.
    • Assist with order entry of samples for the sales team.
    • Build and maintain relationships with the Domestic B2B sales channel account base.
    • Provide accurate ad-hoc reporting to managers and supervisors.
    • Fully understand and follow the Company’s EDI process.
    • Fill out all required templates and data needed for retailers.
    • Build seasonal order forms and catalogs for Domestic channels.
    • Assist with B2B Training and onboarding for sales representatives.
    • Keep records of customer interactions, process customer accounts, and file documents.
    • Follow communication procedures, guidelines, and policies of the Company.
    • Build trust and maintain strong working relationships with internal cross-functional partners that include: Creative, Marketing, Finance, Sales and Product teams.
    • Utilize project management systems to track tasks and projects.
    • Make sure all needed documents are saved and filed in the Company’s designated cloud database.

    WIP Tracking

    • Work closely with the Production team and 3PL to monitor inbound shipments to ensure orders ship on time and start dates are met.
    • Strengthen the order fulfillment process with Product, Sales, Warehouse, and Accounting departments.
    • Assist with monitoring Full Circle open order files for all Rastaclat orders and for all departments.
    • Make recommendations to help exhaust available inventory.
    • Communicate inventory needs, issues, or concerns to the Production team and Sales Operations Manager.
    • Help to oversee International and Domestic order file to ensure orders are shipping on time and not going past cancel.

    Routing Guide Management

    • Fully understand all vendor routing guides, vendor compliance, and stickering needs to ensure 3PL is processing orders correctly to avoid chargebacks.
    • Ensure routing guides and shipping information is updated for all sales channels.

    Warehouse/3PL Communication

    • Manage and execute daily 3PL communications to ensure all order start and cancel dates are met.
    • Order stickers needed for major accounts needing VAS, and handle ticketing aspects to ensure the majority of merchandise is properly ticketed at the vendor level.
    • Ensure all orders that require ticketing have arrived stickered, or coordinate with the Sales Operations Manager and 3PL team to sticker inhouse (VAS).
    • Run open order reports and open pick reports daily to ensure shipped orders at 3PL are being closed in ERP system - Full Circle.
    • Research any shipping errors from 3PL – short ship, mis-ship, refused orders, and freight claims.
    • Work with Domestic and International sales teams to ensure orders are sent to 3PL warehouse and shipped in a timely manner.
    • Identify and assess account and customer needs to achieve satisfaction.
    • Assist with the management of the 3PL warehouse to make sure orders are going out on time by cross-referencing open orders in WMS and Full Circle.
    • Work with the International sales team to ensure all shipping information for international shipments is documented and communicated to 3PL.

    Accounting Bridge to Sales

    • Assist the Accounting department on all open AR issues for the Domestic B2B sales channel.
    • Assist with open account receivables to ensure accounts are current and have valid credit cards on file in Full Circle.
    • Follow up and assist with account receivables for Domestic accounts.
    • Collaborate with the Accounting department to resolve any open credit or invoicing issues.
    • Ensure major account price tickets have been loaded from account in Fineline and alert the production department.

The Digital Marketing Manager will be primarily responsible for overseeing our email channel, loyalty program, and retention efforts utilizing our CRM platform.  Reporting to the Global Digital Director, the Digital Marketing Manager will work closely with key cross functional teams to communicate directly with our community as well as launching various loyalty campaigns to spearhead our retention efforts.

          • Own all aspects of the communications program, including all email and/or SMS sends, acquisition/list growth, and triggered, transactional and lifecycle programs.
